In addition, periodic news items are supplied that can be distributed internally. Article 24, paragraph 1 of the GDPR requires that the measures taken are demonstrable:
“Taking into account the nature, scope, context and purpose of the processing, as well as the likelihood and severity of the risks to the rights and freedoms of natural persons, the controller shall take appropriate technical and organizational measures to ensure and be able to demonstrate that the processing is carried out in accordance with this Regulation. Those measures are evaluated and updated if necessary”.
By documenting the training and progress of the employees, you can demonstrate that your employees have been trained and that you are taking effective control measures. You will receive an accountability statement to avoid having to perform an audit over and over again, which could lead to an audit overkill. On the basis of the accountability statement, the effective operation of the awareness raising program is tested and the results are automatically recorded in the privacy and security accounting of the organization as proof of the effective operation of the awareness raising program. All this is in line with the requirements of the GDPR.
Both the e-learning and the support program have been set up by a well-trained DPO who guides the program in your organization and is an expert discussion partner for your own DPO or project manager.
Based on the program and progress, the manager of each employee is informed monthly about the progress. In addition, your organization will receive a meta-level overview of the progress per group or department. This overview is available to the DPO and the board. The manager can moderate the process of becoming conscious. The reporting information meets the requirements of privacy and security accounting and can be automatically included in the privacy and security accounting of the organization.
Under the GDPR, the appointment of a DPO is mandatory for many organizations. See article 37 paragraph 1 Avg. Article 39 paragraph 1 sub b of the GDPR states the following about the task of the DPO:
“The data protection officer shall perform at least the following tasks:
(b) monitor compliance with this Regulation, with other Union or Member State data protection provisions and with the controller or processor’s policy with regard to the protection of personal data, including the allocation of responsibilities, awareness-raising and training of the data subject personnel and related audits; “
